Terms of Service

1. Agreement to terms

By accessing or using Anestec ClinicOS (the "Service"), you agree to these Terms of Service. If you're using the Service on behalf of a clinic or organisation, you're confirming you have the authority to bind that organisation to these terms.

2. The service

Anestec ClinicOS is stock and inventory management software for clinics. Features and pricing tiers are described at anestecsolutions.stock-alerts.uk/pricing and may be updated from time to time with reasonable notice to existing customers.

3. Accounts

• You must provide accurate information when creating an account
• You're responsible for maintaining the confidentiality of login credentials for your clinic's account
• You're responsible for all activity that happens under your account, including actions by staff members you grant access to
• Notify us immediately at anestecsolutions@stock-alerts.uk if you suspect unauthorised access

4. Subscription and payment

• Fees are billed in advance according to your selected plan
• A 14-day free trial is available; no payment is taken until the trial ends unless you cancel
• Prices may change with 30 days' notice to active subscribers
• Fees are non-refundable except where required by law
• Failure to pay may result in suspension or termination of access after reasonable notice

5. Your data and content

• You retain ownership of all stock, inventory, and business data you enter into ClinicOS ("Customer Data")
• You grant us a licence to host, process, and display Customer Data solely to provide the Service to you
• You're responsible for the accuracy of data you enter, including stock levels, expiry dates, and reorder thresholds. ClinicOS is a tool to support your clinic's stock management processes — it does not replace your clinic's own clinical governance, staff training, or manual checks on medicine safety and expiry.
• On request, or when you close your account, we'll provide an export of your data and delete it from our systems within a reasonable period, except where retention is required by law

6. Acceptable use

You agree not to:

• Use the Service for any unlawful purpose
• Attempt to gain unauthorised access to the Service or other customers' data
• Reverse engineer, resell, or white-label the Service without our written permission
• Upload data you don't have the right to share

7. Availability and support

• We aim for high service availability but do not guarantee uninterrupted access; we'll give notice of planned maintenance where reasonably possible
• Support is provided according to your plan (see pricing page)

8. Limitation of liability

• The Service is provided "as is." While we take care to build reliable software, Anestec ClinicOS is a stock-tracking aid, not a substitute for your clinic's own clinical safety checks, professional judgement, or regulatory compliance obligations.
• To the fullest extent permitted by law, Anestec's total liability for any claim relating to the Service is limited to the fees you paid in the 12 months preceding the claim
• We are not liable for indirect, incidental, or consequential losses, including loss of profits or data, arising from use of the Service
• Nothing in these terms limits liability for death, personal injury caused by negligence, or fraud, where such limitation is not permitted by law

9. Termination

• You may cancel your subscription at any time; cancellation takes effect at the end of the current billing period
• We may suspend or terminate accounts that breach these terms, with notice where reasonably possible
• Sections relating to data, liability, and payment obligations survive termination

10. Changes to these terms

We may update these terms from time to time. Material changes will be communicated to active customers with reasonable notice before they take effect.

11. Governing law

These terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
